Work Order Template: Generate Work Orders from Excel
Turn each Excel row into a finished work order PDF. Copy the Work Order Request template, map your columns once, and generate work orders in one click.
A work order template only saves time if you don’t have to retype it for every job. Many maintenance and field service teams already track their jobs in a spreadsheet — one row per repair, installation, or facilities request — and then copy those same details into a printable document, job after job. ExForms, an Excel add-in, closes that gap: it lets you generate work orders from Excel directly, turning each row of your job list into a completed work order PDF in one action.
Here’s what a work order covers, how to fill one from your workbook in three steps, and how dispatchers can produce an entire day’s work orders in a single click.
The quick answer
Copy the Work Order Request set from the Ready-Made Templates library inside the ExForms Excel add-in, map its fields to your job spreadsheet once, and click Send Data. ExForms generates one completed work order PDF for every row in your table and delivers them all in a single zip. Setup is one-time; after that, each new batch of jobs is one click.
What Is a Work Order Template?
A work order (or work order request) is an internal business document that authorizes and tracks a job. Teams use work orders for maintenance, repairs, field service visits, installations, and facilities requests — anywhere someone needs a clear, signed-off record of what work is being done, where, and by whom.
A typical work order template includes:
Unlike a tax form, a work order is not an official government form — there’s no single mandated layout. The Work Order Request set in the ExForms Ready-Made Templates library is an in-house designed template covering the core fields a work order typically needs. To see the precise field list, copy the set and open its workbook — the columns show exactly what it expects. And because you work from your own editable copy, you can adapt the mapping to match how your team actually tracks jobs.
Fill a Work Order Template from Excel, Step by Step
The workflow has three parts: get the template, map its fields to your workbook, then send your data through it.
Step 1: Copy the Work Order Request template from the Ready-Made library
Install ExForms from Microsoft AppSource and open the add-in in Excel. In the add-in’s folder tree you’ll find the Ready-Made Templates library — a read-only folder of prepared template sets. Open the Business Operations folder, right-click the Work Order Request set, and choose Copy to My Folder. That creates an editable copy in your own workspace, ready to connect to your job list. For a full walkthrough, see the Ready-Made Templates library guide.
Step 2: Map the fields to your job spreadsheet
Each field on the work order — the number, dates, location, and so on — needs to know which Excel column feeds it.
If you’re starting fresh, AutoMap can create a new sheet and table in your workbook with one column per field, so you get a ready-to-fill job list that matches the template exactly. If you already have a job tracker, use the deterministic or AI-assisted mapping modes to match your existing columns to the template’s fields, and fall back to manual mapping for anything unusual. Mapping is a one-time setup; after that, the template stays connected to your live workbook. The working with PDF templates guide covers mapping in more detail.
Step 3: Send Data to generate the work orders
Fill your table — one row per job — and click Send Data. ExForms generates one filled work order for every row, for every template in the set, in a single action. The outputs are named according to your naming patterns (for example, by work order number or job location), sorted into subfolders, and delivered as one zip download.
If you’d rather trigger generation from your own systems, the same capability is available through the ExForms REST API on plans with API access.
Fill Hundreds of Work Orders at Once
This is where the spreadsheet-to-document approach pays off. A dispatcher managing 40 jobs doesn’t fill 40 forms — they maintain one Excel table with 40 rows and generate the whole day’s work orders in one click. Every document comes out consistently formatted, named per your pattern, and organized into subfolders inside a single zip. Batches count toward your plan’s monthly form allowance — see ExForms plans and pricing for details.
Work orders rarely travel alone, either. On paid plans, a template set can hold multiple templates, so one Send Data action can produce your whole job packet — for example, the work order plus a related document for the same job — filled from the same row. Free and anonymous accounts are limited to one form per set, which still covers the core scenario of one work order per job.
Use Your Existing Work Order Form
Already have a company work order form on paper? Photograph or scan it, upload the PNG, JPG, or TIFF (or a flat PDF) to ExForms, and draw the fields once in the visual field placement designer. From then on, that legacy form fills from Excel like any other template. The flat PDFs and scanned images guide covers the full flow.
